How do I say no to a client in English?

Nov 4, 2026
Short answer

Say no to the part you cannot do and yes to the part you can, in one breath: I can do five screens, on the twenty-first. A no alone sounds like a closed door; a no with its own date sounds like a plan.

Say no to the part you cannot do and yes to the part you can, in one breath: I can do five screens, on the twenty-first. A no alone sounds like a closed door; a no with its own date sounds like a plan. If the answer really is no, name the constraint once, offer the alternative you would accept, and stop: a second explanation turns a decision into an argument.

Before the conversation, write the constraint as one number and one date, and decide which of the two routes you would rather have. Decide too what you will not trade: a testing day, a review round, a named person's weekend. A disagreement with a prepared floor stays short, because the third sentence is already written. Without a floor, the same conversation becomes a discussion about how much you care about the client's deadline.
