Asking a Professor for a Reference Letter in English: Email, Office Hours and Follow-Up
A practical way to handle how to talk to professors in English when you need an academic reference: a four-part request email, the packet to attach, office-hours wording, timing with three weeks left, one follow-up, and two full templates.

On this page
Why the request fails before the wording does
Students rewrite the greeting five times and still get silence, because the English is rarely the problem. Three things go missing: what you want and by when, which class you sat in, and an easy way to say no.
A professor reads your email between teaching and marking. A request answerable in one line is easy to accept; one that makes them search their records is easy to postpone. I hope you are well. Could you write me a letter of recommendation? is the version that gets ignored.
The four-part request email
Part one is purpose and deadline, in the opening two sentences.
I am applying for the MSc in Public Policy, and the first reference deadline is 14 March.
Part two is the course and your work in it: course name, term, and one piece of work still in their files.
I took your Research Methods course in autumn 2025; my final paper compared two survey designs.
Part three is what you will send, framed as an offer and kept to four items.
I can send a one-page summary of that paper, my statement of purpose and the programme's note on what the letter should cover.
Part four is an exit: one sentence that lets the professor decline without negotiating or a second email.
If you are not able to write one, or would rather not, I completely understand.
The exit protects the answer: a professor who knows a no is allowed can say yes quickly.
Fill the four parts with your own details first: I am applying for ... and the reference is due on ..., I took your ... course in ..., I can send ..., If this is not possible, ....
The packet that makes the letter cheaper to write
The email asks a favour; the packet turns it into a task of known size.
- A one-page summary of your work in that course: title, term, grade, the two assignments to remember.
- The graded copy of your strongest piece.
- A short description of the programme and the qualities the committee weighs.
- A deadline list with the earliest date marked, and one classroom detail you can both verify.

The first request, written out in full
Use this when the professor may not remember you.
Subject: Reference letter request - Li Wei, Research Methods (POL204)
Dear Professor Alvarez,
My name is Li Wei. I was in your Research Methods course (POL204) in autumn 2025.
I am applying to two public policy programmes, and the first reference deadline is 14 March. I am writing to ask whether you would be willing to write a letter for me.
In that course I compared two survey designs and ran a pilot with twelve respondents, and your comment on the sampling changed my final section.
To keep this small, I can send a one-page summary, the graded copy, a description of both programmes and a list of deadlines.
If you are not able to write one, or would rather not, I completely understand.
Best regards, Li Wei, student ID 20231187
A packet of forty files puts the work back on the professor, so send four items and offer the rest only if asked.
Asking in office hours instead
Office hours are time a professor sets aside to meet students, and the student brings the agenda. Use a title and a surname, Professor or Dr., until you are corrected.
The spoken version is shorter.
Do you have five minutes? I have a quick question about a reference letter.
I am applying to two public policy programmes, and the first deadline is 14 March.
I took your Research Methods course last autumn.
Would you be willing to write a letter for me? I can send a one-page summary and the programme description.
If you would rather not, that is completely fine, and I would still like to keep coming to the seminars.
If the answer is to send an email, send it the same day.
How much notice, and what three weeks really allows
Published guidance clusters around a window, not a rule: these numbers come from three campuses.
| Notice | What the guidance says |
|---|---|
| Two months | Ask two months ahead for a more specific letter and a backup |
| Four to six weeks | Allow a week for a reply, a month of notice, a reminder at two weeks |
| Two weeks | Enough to agree to act as a reference, not to write a full letter |
With three weeks left you are inside the window. Ask today rather than Friday, set your own packet date earlier than the real deadline, and line up a second professor early.

Do not say the request is urgent: urgency describes your feelings, a date describes their task.
The single follow-up
Send one follow-up, not a series: after a week of silence, a short friendly message is normal practice.
Subject: Following up: reference letter for Li Wei (POL204)
Dear Professor Alvarez,
I am writing once, in case my earlier email went to the wrong folder. I asked whether you would be willing to write a reference letter; the first deadline is 14 March.
The one-page summary and the programme description are attached, so nothing else is needed from you.
If your answer is no, that is completely fine and I will not ask again. Thank you, Li Wei
Never put in a follow-up a second copy of the request or a speech about how much the letter matters.
After the yes: confirm submission, then thank them
A yes is an agreement to write, not a submitted letter. Most systems send the recommender a unique link, and the professor uploads the letter, not you.
The link goes to the address you typed, so ask which one they want and warn them it is coming. The status page shows whether a letter arrived and lets you resend the link instead of emailing again.
Some applications ask whether you waive your right to read the letter; decide deliberately. When the letter arrives, thank the professor within a week.
Frequently asked questions
How can international students practice speaking up in class in English?
Prepare three sentences before class instead of improvising: one question about the reading, one point of disagreement, one link to your own experience. Write them in the margin and speak in the first ten minutes, because the pressure builds while you wait. A useful opener is I want to add to what was said about the second point. University study guides add the same advice: bring prepared notes, and treat discussion as a place to test an unfinished idea.
how to talk to professors in english
Lead with a title and a surname, then get to the point: Professor Okafor, I have a question about the deadline for the second essay. The register that works in English academic settings is a request, not a statement of need, so Would you be willing to ... carries further than I need you to .... Put the course number in the subject line, and bring a written question to office hours.
